Enterprise Distributed Workforce & Remote Work Policy
1. Distributed Mission Statement
At Nexly.biz (the “Company”), we recognize that talent has no geographic boundaries. Our distributed workforce mission is to empower employees with the flexibility to execute their best work from any location, while maintaining the structural cohesion, technical security, and cultural alignment necessary for global success.
2. Eligibility & Suitability Triage
Remote work is a performance-based privilege, not an inherent right. Eligibility is determined by role suitability (can the logic be executed remotely?), consistent performance yields, and a minimum institutional tenure. Final authorization rests with the Department Lead and Workforce Operations.
3. Formal Remote Work Agreement
Every authorized remote employee must execute a "Digital Workspace Agreement." This document outlines specific work hours, performance KPIs, and the mandated security protocols the employee must uphold while operating outside of Nexly physical offices.
4. Professional Workspace Environment
Remote employees are responsible for maintaining a professional, private, and ergonomically sound workspace. This includes ensuring a quiet background for high-fidelity video coordination and a reliable enterprise-grade internet connection with a minimum 50Mbps symmetrical yield.
5. Communication & Interaction SLAs
Successful distribution relies on proactive interaction. Remote employees must adhere to the following response SLAs during core hours:
- Real-time Chat (Slack/Teams): Response within 15 minutes for synchronous queries.
- Asynchronous Comms (Email): Response within 4 business hours.
- Video Interaction: Presence in all scheduled squad-syncs with cameras activated.
6. Synchronous Core Availability
To facilitate collaboration across time-zones, all remote staff must be "Online and Identifiable" during our Core Innovation Window (10:00 AM – 4:00 PM Central Time). Outside of these hours, work schedules may be flexed according to individual agreements.
7. Hardware Provisioning & Care
Nexly provides a standardized "Distributed Gear Pack," including a hardware-encrypted compute node, external monitor, and secure peripheral suite. Provisioned equipment remains the property of Nexly and must be returned immediately upon the termination of the remote agreement.
8. Mandatory Security Guardrails
The security of our compute fabric is non-negotiable. Remote workers must:
- Zero-Trust Access: Connect only via the Company-mandated secure tunnel.
- Physical Security: Ensure the screen is locked when idle and never leave Company hardware in unmonitored public spaces.
- Home Network Hygiene: Ensure home Wi-Fi utilizes WPA3 encryption and a non-standard admin credential.
9. Home Data Privacy & Oversight
While we respect employee privacy, Company-owned devices are continuously monitored for cybersecurity threats. Employees must not use Nexly hardware for personal data storage or non-professional web interaction to prevent the co-mingling of identities.
10. Performance Yields & Accountability
Remote employees are judged solely on their "Output Velocity" and "Contribution Quality." We utilize objective project management trackers (Jira/Linear) to measure progress against milestones. A sustained drop in yield will result in the immediate revocation of remote status.
11. Workforce Wellbeing & Boundaries
Distributed work can lead to "Digital Exhaustion." Nexly encourages remote staff to set clear "Offline" boundaries and take mandated breaks. We provide access to virtual wellness programs and expect managers to conduct weekly "Wellness Check-ins" with their remote squads.
12. Residency, Tax & Jurisdictional Logic
Working remotely from a different state or country can trigger complex tax and legal "Nexus" requirements. Employees must obtain written approval from Workforce Operations before changing their primary work residency to ensure jurisdictional compliance.
